Student Hiring Instructions

This is a brief description of the process to hire student employees. Please call your payroll representative for your "Log-on and password". (We don't email these for security purposes.)

1. Please log on to the Career Center website to provide your payroll representative with the job description, supervisor name, pay rate, fund account (if you know it), number of hours, classification etc. https://www.careercenter.ucsc.edu/ers/ersstaff/login/index.cfm and select "Create a new ER" option.

2. You will fill out all the details of the student positions, including job descriptions, supervisors name, pay rate, fund account (if you know it), number of hours, classification, etc., and submit to your payroll representative. A job number will be assigned to your position.

3. After you complete the process, the system will generate an e-mail to your payroll representative, prompting us to review the job, verify that all information is complete, and forward it to the Career Center for approval.

4. A job number will be assigned, then the student will need to apply for that job # at the Career Center student login site: https://www.careercenter.ucsc.edu/ers/ersstudent/login/index.cfm

*You will get a system generated e-mail everytime a student submits an application. You will have the option of selecting the number of applications you want to receive. This way you will only be responsible to respond to those received. You may review the applications as they are received and select your interviewees.

5. Once a student is selected, the supervisor will log into the system once again and select "HIRE" at the bottom of the application.

6. The student should be instructed to meet with their payroll coordinator to receive information regarding time recording and payroll. If a new hire to the campus, they will be sent to the Career Center to sign employment forms.
